RTV Order (New RTV Order)
This page is part of TIPP PRO (TIPP Transactions). It is where you create, review, change, authorize and issue one return-to-vendor (RTV) order in Exact Globe: the document that sends goods back to a supplier and claims a credit. The page title shows “New RTV Order” when you are creating one, or “RTV Order” followed by the number for an existing one. Purchasing and warehouse staff use it when goods have to go back to a vendor.
Before you start
- A valid TIPP PRO licence is needed. Without it you see “Failed: No TIPP PRO licence available; please reach out to TICE-IT. TIPP Transactions requires a TIPP PRO licence to process transactions (the current licence is ‘name of your licence’). Install the TIPP PRO licence file on the Synergy License Management page (Modules > TIPP > Setup > License).” The data stays visible but everything is disabled except Close.
- The division must be an Exact Globe administration. Otherwise the page shows “This page only supports Exact Globe back-offices (CompanyType = 6).” and hides the buttons.
- TIPP must connect to the Exact Globe back-office through [Modules, TIPP, Setup, Backoffice Connection].
- Saving, authorizing, issuing and chatting go through the TIPP Transactions service. It must be running and its address must be right on the TIPP Engine Settings page [Modules, TIPP, Setup, Engine Settings (PRO)].
- The vendor needs a creditor code in Exact Globe and must not be blocked. Items you return must be active purchasable items linked to that vendor.
- To give a reason for a return line, reason items must exist in Exact Globe (items of the reason type flagged “Reason RTV”).
- You normally arrive here from the RTV Orders list (new-order button or an order number) or from the RTV link on a purchase order.
How to create a new RTV order
- Open the page in new mode. The title reads “New RTV Order”, the RTV date and Delivery date are today, the Status is Open and Currency is the company default.
- In Vendor, use the search to pick the supplier. TIPP then fills Currency, Ship via and Person from the vendor’s record when they are available.
- Choose the Return-from warehouse. It is required, and every line is issued from it.
- Optionally fill Description and Description 1 (up to 20 characters each), set the RTV date and choose a Person (buyer).
- Click “+ Add line”. In the new row enter or search the Item, set Return qty (default 1), optionally a Net price and a Reason. Add more lines in the same way.
- Click Save and confirm “Are you sure you want to save a new RTV order?”. When it works you see “RTV order saved.” and the page reloads on the new RTV number.
How to link the RTV to a purchase order
- In Description type TIPP-RET PO followed by a space and the purchase order number, for example TIPP-RET PO 50000103. The text must match exactly, with nothing else in the field.
- Save. If that number exists as a purchase order, the Purchase order field shows the link “Open purchase order” with the number. Click it to open the purchase order.
- Keep the Description unchanged to keep the link. When you start from a purchase order, TIPP fills this text in for you.
How to add lines to an existing RTV
- Click “+ Add line”. If the RTV is authorized, you are asked “Already authorised: number. Continue?”. Click Yes: the RTV is de-authorized and you see “RTV number de-authorized. You can continue editing; click Save to push your changes to Globe.”
- Fill in the new row (Item, Return qty, optional Net price, Reason). The new row is marked NEW and highlighted.
- Click Save. The new lines are added to the end of the order.
- Click Authorize again if you want to issue the goods.
How to delete a line
- In the last column of the line click the red x. If the RTV is authorized, confirm “Already authorised: number. Continue?” first, which de-authorizes it.
- The line is struck through and marked for deletion. Click the x again to undo.
- Click Save. The line is removed from the order. If Exact Globe keeps the line anyway, you get a message (see below).
The x is greyed out when goods were already issued or credited on the line, or when the RTV is completed.
How to change a quantity or price
- Saved lines cannot be edited. Delete the line as described above and click Save.
- Add the line again with the right quantity and price, then Save.
How to change the header
- Edit Description, Description 1, RTV date, Currency, Ship via, Return-from warehouse or Person. This works even on an authorized RTV.
- Click Save and confirm “Are you sure you want to save RTV order number?”. Only changed fields are sent.
How to authorize and de-authorize
- Save the RTV first. Authorize stays disabled on a new RTV (hover text: “Save the RTV first.”).
- Click Authorize and confirm “Authorize RTV order number?”. You see “RTV order authorized.” and the page reloads with status Authorized.
- To undo it, click De-authorize and confirm “De-authorize RTV order number?”. You see “RTV order de-authorized.”. De-authorize is only shown while the RTV is authorized, nothing has been issued and it is not completed.
How to issue the goods
- Authorize the RTV. Issue is disabled until the RTV is authorized.
- Click Issue. If there are unsaved changes you are asked “This RTV order has unsaved changes. Save before continuing?”. Answer Yes to save first.
- The pop-up “Issue – RTV Order” opens. Complete the issue there. When you close the pop-up the RTV page reloads and shows the new status and the Issued column.
- Issue is disabled when the RTV is new, completed, not authorized, or every line is already issued. The hover text tells which one applies.
How to send a chat message on the RTV
- In the Chat panel type your message in the box. Press Enter to send, or Shift+Enter for a new line, or click Send.
- The conversation is stored on the RTV in Exact Globe and every user sees it with names, pictures and times. Your own messages appear on the right.
- Chat is only shown on a saved RTV and is locked when the RTV is completed: “RTV is completed — chat is locked.”.
How to view a related document
- In Related documents click the Subject or the File name. The document opens in the Document preview panel. The first document opens by itself.
- Click Enlarge to open the document in a separate window that you can move to another screen.
